What PracMind writes to your Google Calendar

Exactly which details of a session reach your Google Calendar, which stay in PracMind, when it happens and how to stop it.

    In short

Google Calendar sync is optional. When it is on, PracMind adds each session to your primary Google Calendar with the first word of the client's name, or the organization's name for a session in an organization's workspace, the date and time, and a link back to PracMind. Phone numbers, email addresses and session notes are never sent.

    What appears on your calendar

    Title
“Session — Asha”. The name is the first word of the client's name, which is normally their first name. If the client has no name on record, the title is just “Session”. A session in an organization's workspace is titled with the organization's name instead, such as “Session — MindCare”, and carries nothing of the client's.
    Description
A link to the Sessions page in PracMind. It opens only after you sign in and contains no client details.
    Date and time
The session's date and start time, in the time zone saved with the session.
    Length
The session's duration, or 50 minutes when the session has none.
    Guests
None. PracMind does not add anyone as a guest, so Google does not send an invitation to your client.

    What stays in PracMind

    • Any part of the client's name after the first word
    • Phone number and email address
    • Session type and the meeting link
    • Presenting concerns, session notes and assessments
    • Fees and payment details
    • Everything else in the client's record

A first name is still personal information

Anyone who can see your Google Calendar can see the first name and the time. That may include a delegate or assistant you share the calendar with, your Google Workspace administrator, and any other app you have connected to your calendar. If that is not appropriate for your practice, leave sync off. PracMind works fully without it.

    When sessions are sent

    • Nothing is sent until you connect your Google account. Connecting turns sync on. The Enable sync switch on the Integrations card turns it off again without disconnecting.
    • A session is added when you approve a booking or add a session, and updated when its date, time, length, status, client or therapist changes. Pending booking requests are not sent until you approve them.
    • Connecting does not send the sessions you already have. A session is sent the next time it is created or changed.
    • Sessions are sent by a background job that runs about every five minutes, so allow a few minutes for an event to appear. It is not instant.
    • If Google cannot be reached, PracMind tries again after about 5, 15 and 60 minutes, then stops and shows an error on the Integrations card. The session is saved in PracMind either way.

    Cancelled and no-show sessions

When a session is cancelled or marked as a no-show, PracMind marks the event as cancelled and replaces its title with “Cancelled” and its description with nothing, so the client's first name is not left on your calendar. Google may keep cancelled events in its own records so that they can be restored; PracMind cannot change how Google does that.

    Disconnecting

Choose Disconnect on the Integrations card. PracMind asks Google to revoke its access, deletes the stored connection and turns sync off. If Google cannot be reached, the disconnect does not complete and you can try again.

Events already on your calendar stay there

Disconnecting stops new events. It does not delete the events PracMind has already added; delete those in Google Calendar if you no longer want them. You can also remove PracMind's access at any time from the third-party access settings of your Google Account. When you delete your PracMind account, PracMind also tries to revoke its access.

What you allow Google to share

    • Google asks you to let PracMind manage events on calendars you own, and to see your email address, which PracMind shows so you can tell which account is connected.
    • PracMind's sync writes only to your primary calendar and only creates, updates and cancels the events that stand for your PracMind sessions. It does not read or list the other events on your calendar. The permission Google asks for is worded more broadly than what PracMind does with it.
    • To keep syncing without asking you each time, PracMind stores a token from Google. It is encrypted before it is stored.
    • Once an event is on your calendar, Google's own terms and privacy policy apply to it.

If you are asked to reconnect

“Reconnect Google Calendar to keep sessions in sync” means Google has stopped accepting PracMind's saved permission, for example because you removed PracMind's access in your Google Account. Choose Connect Google Calendar again.
